Purpose of Position
This role offers incredible variety, encompassing front-of-house support and ensuring that the Brazil office operates efficiently, aligns with Awin’s culture, and complies with regional regulations.

Key Task
- Site management: overseeing office maintenance, managing office supplies and equipment, coordinating with vendors and service providers for repairs, maintenance, and office improvements. Responsible for the local infrastructure/office budgeting of our Brazilian location.
- Administrative Support: maintaining administrating tools e.g. travel booking tool, cloud booking, handling incoming and outgoing mail and deliveries, maintaining and organizing office files, records, and documents.
- Go-to-person: serving as a point of contact for employees at our Brazil office and external stakeholders.
- Fostering the local culture: the role is co-responsible for quickly and effectively creating a team spirit and fostering a sense of belonging to Awin as a whole.
- Event planning: support on organizing occasional company events and local meetings, arranging logistics, catering, and accommodations as required; managing event budgets and coordinating with vendors and suppliers; acting as the go-to person for advice on traveling to Brazil from other Awin locations.
- Ensuring compliance with all obligations related to occupational safety, as well as adherence to our sustainability principles.
Skills/Expertise
- Previous experience as the Office Manager (or similar roles) of a Brazil-based SME or Brazilian entity of an international company.
- Proven track-record as “All-Rounder” in a growing organization in Brazil.
- Excellent verbal and written communication

- Lateral entry is also welcome for applicants from the hospitality or hotel industry
- Highly people-oriented, collaborative and trustworthy (incl. handling confidential personnel documents/info), a natural “go-to-person”.
- High level of attention to detail and commitment, mixed with a hands-on approach.
- Highly organized, managing your time and well as the teams to ensure the office is maintained and running effectively
- Hands on mentality is a must.
- IT stock and inventory: new starter equipment, requesting new hardware via ITHELP tickets, manage the local mobile device and small IT item stock (keyboards, cables)
- Installing / reinstalling computers with the Awin Windows 11 image (via ITHELP ticket) if in office
- 1st level troubleshooting before opening and ITHELP ticket that can include software installation, BIOS and driver updates, connectivity troubleshooting. They have local admin password for the computers on their site. This task is dependent on their availability and IT affinity and is not expected to be prioritised over their primary role
- Liaising with local suppliers and 3rd parties if there is a language barrier or if they are the contract managers in their primary role
- Audio and video testing, meeting room setup for company updates
- Occasional sending and receiving of IT related packages like new hardware orders or packages sent between Awin offices
- Native-level Brazilian and fluent English, verbal and written.
- Some understanding of the Brazilian job market, ideally in tech and in the digital marketing space
